To the contact people of all entities -

 

The Cochrane Collaboration, as a registered charity, must meet certain legal obligations. One of these is to hold a formal meeting of its members once a year (an 'Annual General Meeting', or AGM). The 85 Cochrane entities are the 'members', and one person from each entity is expected to attend if possible. This year's meeting will take place from 4.00 to 5.30 p.m. on Sunday 23 October in the John Batman Theatre at the Colloquium conference venue in Melbourne, Australia (see the Colloquium website at http://www.colloquium.info/?pageID=90&ItemID=482#AGM).

 

People who have agreed to represent their entity (only one from each entity) should complete a form on the Colloquium website (http://www.colloquium.info/?pageID=573), please, by 10 October 2005. This will enable us to check how many entities will be represented at the AGMs.

 

Attached are the agenda, the draft minutes of last year's meeting, and (in PDF format) the Report and Financial Statements of the Collaboration and its subsidiary, the Collaboration Trading Company. Please forward these documents to the person representing your entity in Melbourne, if this won't be you, and to other members of your entity whom you think may be interested. We will not be distributing paper copies of these documents at the meeting. (The minutes of last year's meeting and the Report and Financial Statements are still drafts at this stage, so cannot be put onto the website until they have been formally approved.)

 

As in previous years, the legal business of the AGM should only take 10-15 minutes; the rest of the time will be used for general discussion. Other members of your entity, in addition to the person designated to represent it formally, are therefore encouraged to come along too: the general discussion can be lively.
